Club Soda Mindful Drinking Festival Privacy Policy

1 Our Privacy Policy

1.1 The Club Soda Mindful Drinking Festival website (Website) is owned and operated by Club Soda Limited (we, us and our). You, your or user means the person using the Website in accordance with this privacy policy and Our Terms.

1.2 We take your online privacy very seriously. You may visit the Website anonymously as often as you like without providing any personally identifying information (such as your name, address or email address). We do not collect such personally identifying information from you except when you specifically provide it, and this privacy policy, together with Our Terms [above], sets out the basis on which any personal data we collect from you will be processed by us.

1.3 Please read this privacy policy carefully. By visiting the Website you accept the terms of this privacy policy.

1.4 We act in accordance with current legislation and aim to meet current best practice with regard to the processing of personal data. We are registered as a data controller in the United Kingdom in accordance with the Data Protection Act 1998.

2 Collection, use and transfer of your data

2.1 If you want to register with us using this Website we require you to provide us with personal information such as your name and email address for the purpose of setting up your account. We will hold and process this information as is necessary for us to maintain your account, including by passing parts of it on to third parties who may be a service provider acting on our behalf. We require any such third parties to process your personal information in accordance with this privacy policy.

2.2 We have a “legitimate interest” to store and process your data, in order to conduct business with you and any brands and or companies you represent. This includes sending you marketing materials via email about Club Soda events and other products and services.

2.3 You must register with us if you want to make purchases of goods or services through this website.

2.4 By registering with us, you agree that we may use the information you provide to us for communication purposes. This will include sending you messages by email. We will not supply third parties with your data for the purposes of marketing.

3 Storage and processing of your personal data

3.1 We will retain any personal data we hold about you only for as long as it is necessary to do so for the purposes set out in this privacy policy. The basic principle of data retention for Club Soda is that we only retain personal data for as long as we need it: to provide our services to our members and other customers, and to enable us to operate as a social business. If possible, we will anonymise data that we store (for example for impact evaluation purposes it is not necessary to identify people).

Most of Club Soda databases are “live”, i.e. they are in constant use and updated as and when new information arises (including deletion of records that are known to be no longer accurate, or where their deletion has been requested by a customer). These databases are therefore retained indefinitely.

Sometimes it is necessary for business purposes to create new files, documents, or databases using information in one of the “live” databases. Such files etc should only be retained for as long as they are required. A regular review of all folders should be conducted to (i) identify and (ii) either anonymise or delete any files etc that hold personal data.

4 Unsubscribing and deleting your account

4.1 If you wish to unsubscribe from any of our mailing lists or other communications, or if you have previously provided us with your email address or any other information and later decide that you do not want us to have it, you can do so using an “unsubscribe” link in every email we send to you, or you can contact us at jussi@joinclubsoda.co.uk and we will do it for you.

4.2 You may have signed up to our email communications with multiple email addresses. If so, and if you want to stop receiving any communications from us, it is your responsibility to contact us to opt-out of receiving further email communication in respect of each different email address.

4.3 You can delete your website user account by clicking on the icon in the top right-hand side corner of your computer screen, or alternatively contact us at jussi@joinclubsoda.co.uk and we will do it for you.
